Terms & Conditions

Please read these terms before creating an account. You can return to them from the portal footer at any time.

1. About these terms

These terms govern your account and use of the Ask Elsie practice workspace, provided under the name Ask Elsie. By selecting the acceptance checkbox at signup, you agree to these terms. If you act for a practice or billing business, you must have authority to use the service for that organisation. Separate written agreements apply to any managed services you purchase.

2. Accounts and workspace access

Provide accurate account details, protect your password and use your own account. Workspace owners are responsible for inviting authorised team members, assigning appropriate access and removing access when it is no longer needed. Report suspected misuse promptly to your workspace owner and your Ask Elsie service contact. You must not access another workspace without permission, bypass security controls or use the service unlawfully.

3. Patient information and confidentiality

Only upload information you are authorised to handle, and only as needed for your work. Use fictional patient records until your practice is approved for live data. Your practice remains responsible for applicable privacy notices, lawful collection and disclosure, patient permissions and recordkeeping obligations. Signup acceptance does not replace patient consent, a privacy notice or a data-processing agreement. Ask Elsie may process submitted information to provide the functions you request; access must remain limited to authorised users and service providers supporting those functions.

4. Clinical and billing review

Ask Elsie supports administration and practice operations. It does not replace clinical judgement or professional advice and must not be relied on for emergencies. You are responsible for checking patient identity, source documents, coding, fees, financial consent, claims and correspondence before using or sending them. Estimates and suggested actions are subject to review and do not guarantee eligibility, payment or a clinical outcome.

5. AI assistance

AI output can be incomplete or incorrect. Review it against the original records before acting. When enabled, AI requests and selected supporting information may be processed by OpenAI in the cloud through the configured isolated Ask Elsie worker and may consume the connected subscription's usage allowance. Authorise only information suitable for that processing and comply with applicable privacy requirements. Patient information must not be sent through Telegram. Human review, source checks and approval requirements continue to apply.

6. Connected services and call recordings

Connecting email, calendars, Zoom or other services authorises only the access and actions you approve in their connection and workspace settings. Those services have their own terms and availability limits. You are responsible for lawful recording and transcription, including any required participant notices and consent. A signup checkbox is not consent from call participants. Recording, transcription, imports and messages must follow the selected permissions and approval controls. Disconnect services when access is no longer required.

7. Fees and managed services

Charges, scope and payment arrangements for optional paid or managed services must be disclosed and separately accepted before they apply. Creating an account does not itself authorise a paid service, collection of patient funds or a payment transaction. Separately agreed fees and service terms govern the services they describe, subject to rights that cannot be excluded by law.

8. Your content and permitted use

You retain your rights in information you submit. You permit Ask Elsie to process it only as necessary to deliver your requested services and meet applicable legal obligations. You must not upload unlawful material, infringe others' rights, distribute malicious software or interfere with the service. Ask Elsie's software, branding and other service materials remain the property of their respective owners.

9. Availability, suspension and leaving

Service availability may be affected by maintenance, technical failures or connected providers. Keep records and backups required for your practice. Access may be restricted where reasonably necessary to address misuse, a security incident or a legal obligation, with notice and an opportunity to resolve the issue where practicable. You may stop using the service and request account closure through your Ask Elsie service contact. Arrange necessary record exports before leaving; closure does not override legal retention obligations or separately agreed charges already incurred.

10. Consumer rights and responsibility

Nothing in these terms excludes, restricts or modifies rights or remedies that cannot lawfully be excluded, including applicable Australian Consumer Law guarantees. Each party remains responsible for its conduct under applicable law. These terms do not impose a blanket waiver of your rights or an unlimited indemnity.

11. Changes and questions

The version and date shown on this page identify these terms. Material changes should be brought to your attention before they apply and will not retrospectively change rights already accrued. Contact your workspace owner or your Ask Elsie service contact with questions or a complaint, including enough detail to investigate without sending unnecessary patient information. Applicable Australian law continues to govern your statutory rights.
